Managing management systems. What's in and what's out?
A management system contains all those documents that underpin the entire organisation. There are elements that categorically have to be accounted for and some more routine items that can be addressed separately. They apply equally to projects.
- Management systems should not be cumbersome or problematic
- They should be well maintained and accessible to all
- They are an asset and an aid to your business, not an embuggerance
Systems and Process
Consider the company has reached a point where additional control is needed, perhaps a merger or takeover has happened or departments have joined and all of a sudden you have TWO sets of processes – who does what now?! Take a breath and consider exactly what it is you are dealing with.
More than likely you are familiar with the terminology of a management system. More complicated is the requirements and reasoning behind it, what to include (and what not & why), and how to successfully implement or develop one. Think of it like a jigsaw – you just need to select the right pieces and fit them in the right places.
The management system collates and defines processes and procedures to be followed in a given set of circumstances, nominally to achieve set objectives. They are designed to state how you do things [within your business parameters], be measurable and continually improve; they can apply to near enough any topic you choose although Quality, Safety, Environmental and Information Security are the most common.
I can help you in selecting the right procedures and processes, set of standards to apply and in the creation, development and deployment of management systems. The best ones are integrated (as in account for any standards you require) but will require senior-level buy in and dedication. Importantly, the system should be concise and readily accessible.
The systems should incorporate all those aspects you wish to formally control, be that quality, safety, social responsibility, environmental performance, competence… the list goes on!
Regardless of the systems in place, everything you do is a process. Everything within your organisation is done by process. Understand this as a fundamental and you're halfway to understanding good systems as all a system is, is an application of a collection of processes. They interrelate with each other and changes in one shall affect another.
